Late payment email templates
Most overdue invoices are paid after the second or third reminder. Tone matters more than wording. The four emails below escalate calmly without burning the relationship until the final stage.

When to use
- Day 0 (due date) — friendly reminder, automated.
- Day +3 — short personal note from a real person.
- Day +10 — firm but professional, references late-fee policy.
- Day +21 — final notice before further action.

Day +3 — personal nudge
Subject: Quick check on invoice {invoice_number}
Hi {first_name},
I haven't seen invoice {invoice_number} ({amount}) clear yet — anything I can help with on your side? Sometimes these get stuck in approvals or the PDF doesn't make it through to the right person.
Happy to resend or split it differently if it helps.
Thanks,

Day +21 — final notice
Subject: Final notice — invoice {invoice_number}
Hi {first_name},
Invoice {invoice_number} for {amount} is now {days_overdue} days past the original due date of {original_due_date}, despite previous reminders on {reminder_dates}.
Unless we receive payment or a written payment plan by {final_deadline}, we will pause new work and proceed with formal recovery options, including statutory interest and any costs incurred.
If there is a genuine issue, please reply today and we will work it out.

{your_name}Specific deadline, references prior reminders, gives them one last chance to resolve before escalation.
Tips
- Send each reminder from a real person, not a no-reply address. Replies should reach you immediately.
- Always re-attach the PDF or include the share link. Do not assume the buyer still has it.
- Document each reminder — date, content, response. This is your evidence trail if escalation is needed.
- Pause new work after the third reminder. Continuing to deliver is how SMBs end up with five-figure write-offs.
Frequently asked questions
- What if the customer says they will pay but does not?
- Confirm the promise in writing, then follow up the day after the promised date. After two missed promises, treat the account as a collection risk.
